RUPHAsoft HMIS
A hospital management information system for Kenyan private facilities, built by RUPHA on the open-source Frappe framework and kept in step with SHA, the Digital Health Agency and the Ministry of Health. RUPHA member facilities receive member terms; non-member facilities are welcome at additional cost.
Module by module
Front desk and appointments
Registration, queueing, appointment scheduling and patient search that also checks the patient's SHA cover before they reach the clinician.
Outpatient encounters
Vital signs, structured clinical notes, diagnoses with ICD coding, orders for drugs, laboratory tests, imaging and procedures, all from one encounter form.
Inpatient and wards
Admission, bed and ward occupancy, medication administration, nursing cardex, transfers and discharge with a discharge summary.
Specialty programmes
Maternal and child health, HIV comprehensive care, critical care, dialysis and oncology treatment sessions, each with its own encounter shape and reporting.
Pharmacy and stores
Prescription-driven dispensing, ward top-ups, stock reservations, expiry control and reorder suggestions from actual consumption.
Laboratory and imaging
Order-to-result tracking, sample handling, result entry and sign-off, with results returned to the ordering encounter.
Billing, credit and insurance
Charges raised as care is given, deposits and balances, co-payment rules, claim files and reconciliation against remittances.
Human resources
Duty rosters published to the HR ledger, biometric clock-in, gate passes, attendance anomalies, and shift handover of patients and equipment.
Statutory reporting
MOH 705A and 705B, 710, 711 and 706 returns, and IDSR disease notification, prepared from the records and sent to KHIS.
Connected out of the box
Every integration runs on the same FHIR R4 records, so adding a payer or a national system does not mean re-entering the visit.
| System | What the connection does |
|---|---|
| Social Health Authority (SHA) | Member eligibility, pre-authorisation requests, claim submission and status tracking. |
| Kenya Health Information Exchange (KHIE) | Patient and practitioner registries, shared health records and claims through the Digital Health Agency's FHIR interfaces. |
| KHIS (DHIS2) | Monthly MOH returns and IDSR reports posted to the national health information system. |
| SMART Applications | Benefit verification and claims for insurers on the SMART platform. |
| LCT Africa | Premium collection and scheme enrolment synchronisation. |
| MamaToto / MomCare | Maternal care programme enrolment, coverage checks and episode reporting. |
| Electronic payments | Payments made through a payment service provider are recorded against the patient's bill. |
Hosted for you, one site per facility
Each facility gets its own hosted site with its own users, price lists and data. RUPHAsoft operates the platform and applies updates; your staff need only a browser. RUPHA member facilities receive member terms; non-member facilities are welcome at additional cost.
Where your data is processed and who can see it is set out on the data-protection page, together with retention periods and how to exercise your rights.
